Account and Data Deletion

SchoolSuite is a school management platform. Accounts are created and managed by the school your child attends, or that employs you — parents, teachers and drivers do not sign themselves up.

This page explains how to have your account and your personal data deleted, what gets deleted, and which records a school must keep by law even after you ask.

From inside the app.

Open SchoolSuite and go to Profile → Privacy & data rights → Privacy centre, then submit a request of type Erasure. Your school’s privacy officer receives it directly.

By email.

Write to hello@softwarewale.in from the email address or phone number registered with your account, stating your name, your school, and your role (parent, teacher or driver).

If you cannot write from the registered address, we will ask for another way to confirm who you are. This is not bureaucracy — it is what stops somebody else deleting your family’s data.

We respond within 7 working days.

• Your profile: name, phone number, email address and profile photograph
• Your login credentials, and every active session on every device
• Push notification tokens for your devices
• Messages, feedback and consent records associated with you
• For drivers: your trip location history

Bus location history is in any case deleted automatically 30 days after a trip, whether or not anyone asks — see section 3 of the Privacy Policy.

Some records cannot be removed on request, because the school is legally required to keep them:

• Student academic records— attendance, results and fee receipts form a school’s statutory record. Under the DPDP Act the school, not SoftwareWale, is the data fiduciary for them. A parent asking for erasure should raise it with the school directly; we act on the school’s instruction.
• Financial and tax records — payment receipts are retained for the period Indian tax law requires.
• Security and audit logs— retained for the period stated in your school’s agreement, then deleted.

Where a record must be kept, we remove or mask the personal identifiers inside it wherever doing so still leaves the record legally valid.

The school’s full data set is available for export for 60 days after cancellation. After that period it is permanently deleted.
