Education

A school running on paper registers and WhatsApp groups

Jorhat English Medium School, Assam

The problem

  • Attendance marked on paper in every classroom, with the principal having no view of the school until registers were physically collected.
  • Fee notices going home in schoolbags, reminders buried under replies in WhatsApp groups, and reconciliation taking days each month.
  • Parents calling the office daily to ask whether their child had reached school — a question the school could not answer without walking to a classroom.

What we built

  • Admin dashboard showing live attendance and fee status across every class on one screen.
  • School-branded parent app and a teacher app that marks attendance in about two minutes per class.
  • Fee collection with online payment, automatic reminders, instalments and daily reconciliation.
  • Exams, report cards, homework and announcements in the same system.

What changed

  • Setup completed in under a week, including data migration and staff training over WhatsApp video.
  • Parent calls asking whether a child had arrived dropped by roughly 80%, because the parent app answers it.
  • One annual subscription for the school, so admitting students is not a software cost.

Freight invoices built by hand, rejected by the client's accounts team

The problem

  • Every freight invoice assembled by hand in Excel, taking 15 to 20 minutes each.
  • GST calculations — particularly reverse charge on goods transport — applied inconsistently, because the rules lived in one person's head.
  • Invoices bounced back by the client's accounts team for missing fields, and each rejection delayed payment by weeks.

What we built

  • GST freight invoicing with reverse charge handled correctly by the system rather than by memory.
  • Vehicle and trip entries, toll and freight charges, and consignor/consignee records.
  • Print-ready PDF invoices carrying every field an accounts team needs to approve them first time — GR number, SAC code, GST summary, authorised signatory.
  • A reports dashboard showing paid, unpaid and partially paid invoices with running totals.

What changed

  • Invoice creation went from 15–20 minutes to about 2 minutes.
  • Invoices arrive in a format that gets approved without being sent back.
  • The entire system was specified, built and delivered in 7 days.

What these three have in common

None of them started as a software problem. They started as a process that worked until the business grew past it — a register that was fine for six classes, an invoice format that was fine until the client's accounts team tightened up, a shop whose reputation travelled by word of mouth until customers started searching first.
