SoftwareWale is a software development team based in Bangalore, Karnataka, India. We build school management software (SchoolSuite), mobile apps, business websites, and custom software for Indian businesses and educational institutions.

a) From website enquiry forms:

• Full name, mobile number, email address
• Business type and project requirement
• Description of your business or project

b) From SchoolSuite (school management platform):

When a school subscribes to SchoolSuite, the following data is collected and processed on behalf of the school:

• Student records: name, class, date of birth, roll number, admission number
• Parent and guardian information: name, phone number, relationship to student
• Teacher information: name, phone number, assigned classes and subjects
• Attendance records: daily attendance marked by teachers
• Homework assignments posted by teachers
• Fee records: amounts due, amounts paid, payment history
• School announcements and communication
• School Moments: photos shared by teachers via the platform
• Bus route information (where bus tracking add-on is enabled)
• Push notification tokens (device tokens used to send app notifications)

c) Automatically collected:

• Browser type, device type, IP address (from web visits)
• Pages visited and time on site

Website enquiry data is used to:

• Contact you by phone, WhatsApp, or email regarding your enquiry
• Provide quotes, proposals, and service information

SchoolSuite data is used to:

• Operate the school management platform on behalf of the subscribing school
• Enable teachers to mark attendance and assign homework
• Enable parents to view their child's school information
• Enable the school administration to manage students, fees, and communications
• Send push notifications for attendance, homework, announcements, and fee reminders
• Process fee payments via Razorpay (where fee collection is enabled)

We do not sell, rent, or trade any personal data to third parties for marketing purposes.

All school data — including student records, parent information, attendance, fees, and communications — belongs to the subscribing school. SoftwareWale processes this data on behalf of the school as a data processor.

The school retains full ownership of and responsibility for the data entered into SchoolSuite. Upon subscription termination, the school may request a full export of their data.

Access to data within SchoolSuite is role-based:

• School Admin / Principal: Full access to all school data within their school only
• Teachers: Access to their assigned classes and students only
• Parents: Access to their own children's data only
• SoftwareWale team: Access to school data only for the purpose of support, maintenance, and issue resolution — not for any other purpose

Multi-tenant architecture ensures no school can access another school's data.

Website enquiry data is retained for up to 2 years from the date of submission for business communication purposes.

SchoolSuite data is retained for the duration of the school's active subscription plus a 60-day grace period after termination, during which the school may export their data.

To request deletion of your data or an export of your school's data, contact us at hello@softwarewale.in. We will respond within 7 working days.

• All data is stored on Supabase (PostgreSQL), a secured cloud database hosted on AWS infrastructure
• All data in transit is encrypted via HTTPS/TLS
• Database access uses row-level security (RLS) policies to enforce data isolation between tenants
• Authentication uses Supabase Auth with phone OTP for parents and drivers, and email+password for teachers and admin staff
• Service-role database keys are never exposed client-side
• Sensitive actions are logged in an audit trail

While we implement industry-standard security measures, no internet-based system can guarantee 100% security. We will notify affected schools promptly in the event of a data breach.

SchoolSuite and our website may use the following third-party services. Each has its own privacy policy:

• Supabase: Database and authentication hosting
• Razorpay: Payment processing for fee collection (where enabled). Razorpay processes payment data under its own PCI-DSS compliant systems. We do not store card or bank details.
• Firebase Cloud Messaging (FCM): Push notifications delivered to parent and teacher devices
• Vercel: Website hosting
• Formspree: Website enquiry form submission processing
• Google Analytics 4: Public website analytics for page views and lead-action events, without form field contents or personal details
• Microsoft Clarity: Optional public website behavior analytics, enabled only when configured by SoftwareWale
• WhatsApp: Communication via WhatsApp links on our website. WhatsApp is operated by Meta Platforms, Inc.

Our public website uses analytics to understand page visits and lead actions such as WhatsApp, call, email, and successful contact-form submissions. We do not send names, typed phone numbers, typed email addresses, message contents, invoice data, or customer/admin/internal data to analytics tools.

SchoolSuite processes student data including minors. This data is collected, entered, and managed by the subscribing school. Schools are responsible for obtaining any required parental or guardian consent for data collection under applicable Indian law, including the DPDP Act 2023.

We do not use student data for any purpose other than operating the school management platform.
